    Preliminary Subdivisions

I've been sitting on this egg for a long long time, so thanks to Ross for providing the warmth necessary to hatch it. Find the sample shapefile at http://adasig.org/files/9/change_management/entry25270.aspx.

    Notification date: 09 March 2010
Agency Name: Ada County Assessor's Office
    Contact Person: Dan Narsavage
    Phone: (208) 287-7273
    E-mail: dnarsavage@adaweb.net

Data set name: adaprelim (preliminary subdivisions)

    Description of change request/notification:
    - Expired and withdrawn prelims will be left in rather than deleted, and their status will be recorded with a new field
    - Fields will be changing as listed below (see metadata for verbose definitions)

    Old (adaprelim).............New (PreliminarySubs)
    ^^^^^^^^^^^^^^^^^^^^^^^^^^^^^^
    SUBNM.......................SUBNAME
    ACREAGE....................ACRES
    DVP...........................DEVELOPER
    ENG...........................ENGINEER
    TRS................................[none]
    LOTNUM....................TOTALLOTS
    BUILDLOT..................BUILDLOTS
    PARCEL...........................[none]
    NUMPAR..........................[none]
    AGENCY.....................AGENCY
    REC_DATE.......................[none]
    PRENUM.....................AGENCYNAME
    LTYPE.............................[none]
    COMMENTS......................[none]

    [NEW FIELD]..............UP_DATE
    [NEW FIELD]..............EXP_DATE
    [NEW FIELD]..............ORIG_DATE
    [NEW FIELD]..............STATUS
    [NEW FIELD]..............RESLOTS
    [NEW FIELD]..............COMMLOTS

    Potential impact to end users:
    - Automated tasks will have to be updated if dependent upon old fields whose names are changing
    - Storage of expired prelims -- anyone not wishing to see expired/withdrawn prelims must query them out
    - New fields -- delete them if you don't want them

    Feedback deadline: 01 April 2010

    Implementation date: 14 April 2010

Feedback preference: Post a reply on this thread

    Re: Preliminary Subdivisions

Dan, why the decision to keep the expired ones?

    Re: Preliminary Subdivisions

Good question Chuck. My thought was that Jean does the work to COGO or digitize those out bounds & fill in the attributes. Why permanently discard the fruits of that labor when disk space is cheap, someone MIGHT be interested in that information, and one script that'd take five minutes to write and five seconds to run will remove them for anyone who doesn't want to see them?

    Re: Preliminary Subdivisions

One further note that I kinda implied but never explicated: Our intent here is to stop editing preliminary subs in coverage and ONLY deliver a shapefile (as described above) that will be exported from our geodatabase. The new shapefile will be named "PreliminarySubs" to distinguish it from the old "adaprelim" shapefile & coverage.

    Re: Preliminary Subdivisions

I agree it may be good to keep the expired prelims but wonder if it would be better to move them to a separate history file. If they were in the same file it would be easy for us to create and run a script that weeds them out but maybe not so easy for all subscribers. There may be a lot of subscribers, especially from smaller cities or agencies, that don’t have the know-how to do that. It could be confusing on their part to view the file and see recorded subs in the prelim layer, even more so for quarterly CD users who are more casual in their GIS use and don’t even have ArcGIS.

    Re: Preliminary Subdivisions

Thanks Chuck. Sorry for the delay. I've been quite swamped lately. We don't anticipate all that many users having these issues, and for the few (if any) that do then we can take the opportunity to teach a proverbial man to proverbially fish.

    Re: Preliminary Subdivisions

A change to the changes listed above:

Ross pointed out that a 50-character "Comments" field is in the "core" fields identified by RGAC. We have added that to our feature class and it will be included with the shapefile we distribute. Thanks Ross.
